A premier Texas law firm is seeking an experienced Legal Assistant to support its highly respected Real Estate & Public Finance practice in its San Antonio office.

This is an exceptional opportunity to work alongside attorneys representing developers, financial institutions, municipalities, governmental entities, and corporate clients on sophisticated commercial real estate transactions and public finance matters throughout Texas.

Responsibilities

Real Estate & Public Finance Transaction Support

  • Prepare, revise, proofread, and organize legal documents related to commercial real estate and public finance transactions.
  • Assist with escrow instructions, title and survey review, entity formations, UCC searches, local transfer requirements, and due diligence materials.
  • Draft and assemble closing documents, agreements, schedules, exhibits, third-party consents, and transaction checklists.
  • Support public finance and bond transactions by preparing orders, certificates, notices, affidavits, bond documents, and other closing materials.
  • Assemble bond transcripts and closing documents for submission to the Texas Attorney General's Office

Administrative & Billing Support

  • Prepare, proofread, and format legal correspondence, contracts, presentations, and transactional documents.
  • Enter attorney time, review prebills, process billing revisions, and support client billing activities.
  • Review vendor invoices, prepare payment requests, and coordinate with accounting.
  • Open new client matters, process conflict checks, and maintain accurate client records.

Calendar & Workflow Management

  • Manage attorney calendars, meetings, deadlines, travel, and transaction schedules.
  • Coordinate closings, client meetings, presentations, and business development activities.
  • Proactively manage multiple priorities while anticipating attorney needs and supporting an efficient workflow.

Records & Document Management

  • Maintain and organize electronic and hard-copy client files.
  • Manage documents and email within the firm's document management system (iManage experience preferred).
  • Ensure accurate organization, storage, and retrieval of transaction records throughout each matter.

Client Service

  • Build strong working relationships with clients, title companies, lenders, bond counsel, governmental agencies, vendors, and internal team members.
  • Deliver exceptional administrative support while maintaining the highest level of professionalism and confidentiality.
  • Collaborate effectively with attorneys and fellow legal support professionals in a team-oriented environment.

Qualifications

  • High school diploma or GED required; bachelor's degree preferred.
  • 3–5+ years of legal assistant experience supporting Commercial Real Estate attorneys is required.
  • Experience supporting Public Finance, Municipal Finance, Bond Transactions, or Commercial Finance attorneys is strongly preferred.
  • Prior law firm experience required.
  • Knowledge of commercial real estate transactions and transactional legal documentation.
  • Strong proficiency in Microsoft Office, including advanced Microsoft Word formatting.
  • Experience with iManage or another legal document management system preferred.
  • Experience with attorney time entry, billing, and client matter management.
  • Exceptional organizational skills with the ability to manage multiple deadlines.
  • Outstanding communication, proofreading, and client service skills.
  • Ability to maintain confidentiality while working in a fast-paced legal environment.
